Board of Directors Meeting
Thursday, September 4, 2003

Board Members Present: Gary Bennett, Greg Smith, Nancy Klein, Steve Overstreet, Jim Cowdery and Lisa Finnegan

Board Members Absent: Randy Hillman, James McClain and Steve Nielsen

The meeting was held at the residence of Gary Bennett. Gary Bennett called the meeting to order at 7:35 p.m.

President Gary Bennett stated that he would like to start the meeting differently to address the Scavenger Hunt held in August. Gary stated that the Scavenger Hunt was a success with a good turnout and positive feedback from the participants. He informed the Board of Directors that Dr. Glidden and Maracel Quionnes donated $1000.00 towards the purchase for a fountain in the pond at the Vistawilla entrance. Steve Nielsen has already established an account specifically for the fountain costs. On behalf of the Board of Directors Gary sent a letter of thanks to the Quionnes family.

Gary also stated that the Neighborhood Watch meeting was a great success. The meeting was well attended and reenergized the Block Captain program. The committee addressed a number of recent car thefts, entrance vandalism and the recent vandalism at the Vistawilla entrance as the bench is currently missing.

Treasurer’s Report:

The CWHOA Treasurer was absent from this meeting and the report is pending his attendance at the next meeting. Gary Bennett informed the Board that to date we have 192 paid members.

Neighborhood Watch:

The Neighborhood Watch meeting was well attended. We are in need of replacing some of the old Block Captains due to moves and lack of participation. The Neighborhood Watch program is a critical part to establishing communication within Chelsea Woods. It was determined that Chelsea Woods resident realtors would be the best link to the new homeowners receiving the Chelsea Woods Welcome packet and request for membership. They can assist CWHOA by informing the block captains of a new resident in their designated area.

Jan Bennett has developed a letter that will be sent to the Block Captains. The committee will review the letter prior to its distribution.

Beautification:

Jim Cowdery and Gary Bennett will take over the replacement of light at the Vistawilla entrance. Gary is in the process of receiving current quotes for the work that needs to be done. John will replace all shrubbery in October.

Social Committee:

Gary Bennett addressed concerns with the prior location for Fall Fest and the inconvenience that some of our neighboring residents face. CWHOA also has to coordinate the arrival and removal of a portable toilet. A motion was made to move Fall Fest to Trotwood Park. CWHOA can rent the pavilion at Trotwood Park for $32.10 from 2 until 6 p.m. This motion was seconded.

There was a second motion to move the Fall Fest event to Saturday November 1 due to a schedule conflict for Lisa Finnegan. The Board seconded the motion and it was agreed that Fall Fest will take place on Saturday November 1st, 2003 this year.

Ticket prices will increase by $1.00 for adults with children’s pricing remaining the same as last year. Adult prices are $7.00 and children $3.00 prior to October 15, 2003. After October 15 prices will go up a dollar for both adults and children. Non-member prices are $12.00 for adults and $5.00 for children. Jim Coleman, Gary Bennett, Nancy Klein and Eileen Rodriquez will assist in the sales of the tickets. The Board agreed that the wristbands were the best ticket type method to use.

The Halloween parade will take place on Friday October 31, 2003. Lisa Finnegan will pick up cookies and drinks for the parade. Gary Bennett will contact James McClain for assistance with the parade. Gary Bennett will also contact the Winter Spring Police Department for their assistance in blocking off the street. The Board agreed that the parade should begin at 4:45 p.m. to allow for the school buses to pass through and still allow for daylight.

Newsletter:

Newsletter articles need to be in to Nancy on September 10th and she will turn it around to Gary on September 15th. Nancy’s goal is to have it to the printers for distribution by September 20th.Septembver 20th.
