Board of Directors Meeting
Monday, October 10, 2005
Meeting Minutes
Members Present: Kurt Miericke, Sue Beveridge, Luis Rios, Lisa Finnegan, Pat Stanforth, Greg Smith, Bruce Lieske, and Jim Mathews, newsletter editor.
Absent: Ron Schroeder.
The meeting was held at Lisa’s house, 701 Conesus Lane. It was called to order at 7:30 PM by Kurt.
The meeting minutes from the previous meeting, Sept. 12th, were approved.
The Treasurer’s Report was given by Sue. The bank account has a current balance of $8,376.22. A bill of about $900 was received for both entranceways. There were serious problems with the lighting that required new electrical equipment. Luis supervised the repair and replacement of the equipment which is now in working order. Kurt had a deposit from fees paid by newsletter advertisers. Pat and Ray Biechele of Keller Williams Realty made a donation of $100 to be used for the Halloween Parade.
A letter addressed to CWHOA was received. The 2 homes at 1838 and 1841 Seneca Blvd., between our entranceway and Winter Springs Blvd. want to join our HOA. About 10 years ago, the CW HOA board decided to allow those 2 homes to join. An exception to the deed restrictions was granted to the one home which has a garage entrance facing the street. This board agrees with that decision. However, as they are part of the Chestnut Estates HOA, these 2 homes are responsible for the legal and financial burdens associated with this change in HOA membership.
Membership Drive. This will be advertised in the Nov. newsletter. The bills will be sent out before the end of the year. Work on the bills, the enclosed letter, and possibly a copy of the budget should begin soon. The annual meeting is to be held in February as stated in the by-laws.
Beautification. This report was given by Luis as Ron was absent. The electrical circuitry and lighting fixtures at both entrances were fixed/updated under Luis’ supervision.
Deed Restrictions update was given by Luis. A home added a screen room with a metal roof. This roof does not match the house’s roof color and as such does not meet the deed restrictions. Luis is going to contact the family and try to persuade them to paint the roof and have the addition meet our code.
This problem occurred as the city did not require the family to notify CW HOA and receive our approval as part of the permit process. Greg is going to contact the city to see if this aspect of the problem can be resolved.
Newsletter. The October newsletter was mailed the day after this meeting. Ideas for the November issue include the following:
1. The November issue should announce the 2006 membership drive. It would be good to include the budget or at least remind members that the budget is online if not included with the bill. It might be good to compare the cost of CW membership to other HOA’s in Tuscawilla. List major achievements.
2. Request applicants for the board membership.
3. Report on Gary’s walk for strokes.
4. Ask families to clean their sidewalks if they are slippery with mold. Include instructions on how to do this.
Fall Fest. There were about 100 people last year. We should plan for that many until the ticket sales indicate otherwise.
1. Greg is going to cook again. He will bring charcoal and lighter fluid.
2. Kurt is going to order food from Woody’s and bring a long table.
3. Lisa is going to see if she can borrow a large cooler to fill with cold water.
4. Lisa will man the ticket table with help from Sue and Pat.
5. Sue will bring name tags, onions, ketchup, and mustard.
6. Pat will bring hot dogs, buns, plates, trash bags, and cups.
7. Pat needs to make up a half sheet flyer announcing the parade route to be distributed.
We will meet at Jim’s house at 2:30 to start setup. Lisa will meet us at the park as she has to organize the bouncy castle.
Halloween Parade. Pat will shop for food with the $100 donation from the Biechele’s. Kurt has paper products that he will drop off soon at Pat’s. Luis and Kurt will help the day of the event. Pat will call and organize a police escort. The parade starts at Seneca and Saranac at 4:45 on Oct. 31st.
Welcome Package. The package should be updated to include copies of the deed restrictions and by-laws. Who does this?
The next Board of Directors meeting will be held on Monday, Nov. 14h at 7:30 PM at Sue’s house, 1834 Seneca Blvd.
