Meeting Minutes


Members Present: Jim M., Chris W. Tom K., Wally W., Susan B., Scott H., Matt G., Kim C.,

Members Absent: John S., Bruce L.

The meeting was held at Sue Beveridge’s house. Chris W. called the meeting to order at 7:04 p.m

Meeting Minutes: Approved without objection.

COMMITTEE REPORTS:

Beautification/Maintenance: Wally visited Concepts in Greenery to obtain list of trees appropriate for street/sidewalk easement. He will provide draft information for inclusion in the newsletter to determine homeowner interest. Suggestion to include “What to do when the streetlights go out” info in newsletter, and possibly permanently on the website. Regarding electrical, etc. at North entrance, Chris W worked with Mr. Holmes to replace 2 lights, removed concrete pad from under the flowerbed, and replaced 2 breakers. Cost for materials = $230.00. No labor cost has been invoiced from Mr. Holmes, and Motion was made by Wally W. to approve and purchase a $100.00 gift card for Mr. Holmes as appreciation. Seconded by Scott H., and passed without objection.

Treasurer / Membership: report by Sue B. Current balance $11,590.11, with additional anticipated expense of $1200 through the end of the year. Discussion of increasing capital improvements for next year’s budget. Sue B. to contact the bank and previous treasurer to confirm nature of the Restricted/investment account. Discussion of an opt in/out box on annual mailing to ask members whether they want to receive newsletter by hard copy or e-mail. MRG to provide sample language to Sue. Annual letter to go out approx 2nd week of December. Discussion of increased electrical costs due to necessary repairs and reduction in 2009 actuals.

Welcome: report by Kim C. no news to report.

Newsletter: Chris reports that we are still in need of someone to take over as editor; Jim M. indicates a new format for Newsletter, simplified from MS Publisher. Further discussion regarding finding replacement for newsletter editor.

Deed Restrictions; Scott H. has corresponded with homeowner at 1777 Seneca regarding sprinkler lines, potential fence line encroachment from neighbor, indicating the Rules and Regs do not authorize HOA to make determination of the issue, and suggested that homeowner should contact an attorney. HOA to communicate that it has no responsibility or authority with regard to title or boundary matters between neighbors.

417 Task Force: Bruce indicates nothing new to report.

Parade/Halloween: Thanks to Kim C. for hosting the Halloween party. Kim to supply receipts to Sue B. for reimbursement

Community Action Committee: Tom has attended Civilian Academy, 10 week course through WSPD. Anticipates WSPD will offer again in 2010.

Action Items/Other New Business:

Annual Meeting: annual meeting scheduled for Feb. 9 at 6:00 to 7:45. Location currently at the public library in Oviedo, but looking for other locations. Scott H. to check with other locations, including Senior Center

Next meeting planned for January 12, 2010 at Wally W.’s house.
